We need someone that can provide executive level administrative support to our SVP Distribution & Channel Development. The Executive Assistant is a strategic business partner that helps coordinate the operations of the assigned departments through action item logs, meeting minutes, and follow ups. Will be responsible to help create and refine presentations, provide ongoing administrative support and ensure administrative tasks are handled in a professional, timely and accurate manner.

What will you do?

•Provide comprehensive executive administration support for the SVP Distribution & Channel Development. This will include the coordination and organization of detailed calendar, events, travels, and reports in a confidential, professional manner.

•Supports SVP and partners with VPs and business leaders to create executive presentations and other documents for Steering Committees, Councils, Management Team meetings and other executive-level meetings.

•Manages SVPs visits both onsite and off-site including domestic and international travel arrangements, agenda planning, presentations, and acting as the liaison for all participants.

•Manages key projects and initiatives as determined by SVP.

•Acts as the primary point of contact for the SVP including visitors.

•Develops and monitors communication channels/tools utilized within the SVPs organization (e.g. Sharepoint, Teams, etc.) in order to help team members collaborate effectively.

•Coordinate and follow up of plans and activities within the management team.

•Leads agenda development and preparation of materials for management meetings, including off-sites, company meetings, and business reviews.

•Create and edit presentations using Microsoft Power Point and related programs.

•Facilitate clear communication within the teams and to other departments and stakeholders.

•Schedules staff and other meetings and provides agenda and associated materials to the team in advance.

•Independently drive delegated tasks and make proposals for improvements.

•Manage travel arrangements and process Expense Reports

•Reconcile monthly corporate credit card statement as needed.

•Prepare presentations for meetings as needed.

•Handling of purchasing orders.

•Works closely with other Executive Assistants to coordinate calendars for various executives to prioritize meetings as necessary.

•Ability to interact with all levels of management practicing excellent interpersonal, cross -cultural and communication skills (both verbal and written)

•Verify incoming invoices, expense reports, and process for payment.

•Handle multiple inquiry calls, screen calls, and delegate customer/ stakeholder concerns where appropriate.

•Coordinates and maintains appropriate distribution lists for communication.

•Coordinate and support introduction of new employees together with responsible manager as needed. (equipment, IT and scheduling)

•Other duties as assigned.

Education and Experience

•Associate degree in Business Administration, Office Technology or related field, or equivalent experience.

•We believe you have extensive professional experience as senior executive assistant or similar roles.

•You have a minimum 5+ years executive administrative experience – preferably in a global environment.

•You enjoy working with diverse people in various positions.

•Teamwork is in your backbone, and you are creating a good team spirit wherever you are.

•You listen, understand detailed discussions, and translate this into documentation and actions.

•You have excellent verbal and written communication skills.

•You have excellent experience of Office 365 and eager to learn and utilize new tools and processes.

•Time management and ability to meet deadlines.

•Managing projects / processes, working independently with limited supervision.

•High standard of professionalism and to operate with highest level of integrity.

•Strong organizational skills and ability to multitask.

•Exceptional grammar, business writing, and presentation preparation skills including the ability to communicate at all levels of the organization

•Ability to handle confidential information and working with a high level of integrity and ethics

•Expert level experience working with Microsoft Office
